Erasmus+ Traineeships

The Erasmus+ Traineeship Programme offers students and recent graduates the opportunity to gain professional experience in companies, organizations, or educational institutions abroad.

Its main goals are to help participants develop valuable skills, enhance their employability, and strengthen their European identity.

Who Can Participate

  • Undergraduate, postgraduate, and doctoral students enrolled in recognized higher education institutions.
  • Recent graduates, provided the traineeship is completed within 12 months after graduation.
  • Participants must study at an institution holding an Erasmus Charter for Higher Education (ECHE).

NOTE : Students who are interested in undertaking a traineeship must first inform the Secretariat of their Department, in order to verify that they meet the eligibility requirements for the internship.

Where the Traineeship Can Take Place

No bilateral agreement is requested between the sent Institution (HMU in our case) and the receiving organization for an HMU student to implement his/her traineeship period.

The receiving organization can be:

  • public or private, a small, medium, or large enterprise
  • public body at the local, regional or national level
  • embassies or consular offices of the sending Program Countries (in our case the Greek Embassies or Consular Offices)
  • social partner or other representatives of working life, including chambers of commerce, craft/professional associations, and trade unions
  • research institute
  • Foundation
  • school / institute / educational center
  • non-profit organization, association, NGO
  • body providing career guidance, professional counseling, and information services

Duration

The traineeship can last from 2 to 3 months.

If you wish to undertake a traineeship for more than 3 months, please contact our office to discuss the available options and funding opportunities.

Each student may combine study and traineeship periods, with a total maximum of 12 months per study cycle (Bachelor’s, Master’s, Doctorate).

Grant for Travel Expenses – Applicable to All Participants

Outgoing students receive funding to cover travel expenses, which is calculated based on the distance in kilometers between the place of origin and the location of the mobility activity.

The amount is determined according to the distance band, as shown in the following table.

Note : Scholarship amounts  are set annually by IKY (National Agency).

 

Additional Funding for Students with Fewer Opportunities

Students who meet specific economic and social criteria are eligible to receive an additional supplementary amount of €250 per month, on top of the basic individual support grant.

Mobility Procedure for Erasmus+ KA131 Traineeships

  1. Finding a Host Organisation

Before applying, students should consult their Departmental Erasmus Academic Coordinator, who provides guidance and information about available opportunities and requirements.

Students are responsible for identifying and contacting potential host organizations abroad.

Applications should include an updated CV in English and a short message requesting acceptance for a traineeship position.

Please note that host organizations are not obliged to provide payment or insurance unless they choose to do so.

  1. Application Process

The International Relations Office issues a call for expressions of interest for Erasmus+ traineeships four times per year, approximately every three months. Students of the Hellenic Mediterranean University (HMU) community who are interested in participating in the programme are kindly requested to submit their application through the platform www.morpheus.hmu.gr

(select Erasmus+ / Erasmus Traineeship  Application/number 74 ), and attach the following documents:

(a) Application form (available on the platform)

(b) Detailed transcript of records (automatically issued by the platform)

(c) Curriculum Vitae (CV)

(d) Foreign language certificate

  • Complete the online application available on the International Relations Office (IRO) website.
  • Submit all required documents in PDF format as indicated in the application form.
  • Recent graduates may also participate, provided that they still hold student status during the selection process and complete the traineeship within 12 months after graduation.
  1. Selection Procedure

After the call for applications closes:

  • All applications are forwarded to the Departmental Erasmus Coordinators.
  • Evaluation and selection are carried out according to the criteria set by each academic department.
  • The final list of selected students is sent to the International Relations Office.
  • Results are published on the IRO website.
  1. After the Selection

Once selected:

  • Confirm your participation with the International Relations Office.
  • Begin communication with the host organization (if not already confirmed).
  • Complete the Learning Agreement for Traineeships – Before Mobility, in cooperation with:
    • The host organization
    • Your Academic Coordinator

NOTE : All parties must sign the document before the start of the mobility.

  1. Language Support (OLS)

As part of your Erasmus+ experience, you have free access to the Online Linguistic Support (OLS) platform to improve your working language skills.

Using OLS is highly recommended to enhance your traineeship experience.

  1. Before Departure

At least two months before your departure, submit to the HMU IRO:

  • Letter of Acceptance from the host organization
  • Learning agreement
  • Grant agreement/ IKY Contract ( Fill in the Grant agreement in the word file.

( articles 2, 3, 4 would be filled in by us ). Then print it twice and sign it with a blue pen.

  • European Health Insurance Card. Obtain it free of charge from your insurance provider (e.g., IKA, OAEE). If you are not insured, contact the HMU office for more information.

  • Private health insurance for the duration of the traineeship, covering medical expenses, personal accidents, and liability.
  • OLS Test
  • Bank Details – Submit a photocopy of the first page of your bank account booklet (preferably National Bank).You must be the main account holder, and the IBAN and SWIFT/BIC must be clearly visible.
  1. During the Traineeship
  • Any changes to your traineeship must be recorded in the Learning Agreement – During the Mobility, signed by all parties and sent to the IRO immediately.
  • Requests for extensions must be submitted in writing at least one month before the original end date, with approval from the host organization and your department.

NOTE : Before leaving your host organization, ensure you receive and sign the Learning Agreement – “After the Mobility “, confirming the exact start and end dates of your traineeship.

👉 Students who are undertaking a mandatory traineeship must be informed by their Department Secretariat about the required documents that need to be submitted or completed during the traineeship (e.g., internship logbook).

  1. Arrival / Departure:

Upon arrival at your host university, visit the International Relations Office to have your Arrival/Departure Form signed.

Send it immediately to evamen@hmu.gr to begin the payment process.

  1. First Scholarship Payment:

You will receive 80% of the scholarship approximately 40 days after submission.

  1. Departure from Host Organization:

Before leaving, visit the International Office again to have the Arrival/Departure Form signed for your return.

  1. After Returning

Within one month after the end of your traineeship:

  • Submit the After the Mobility certificate to the IRO.
  • Complete the mandatory EU Survey
  • Send travel documents (tickets and boarding passes).
  • The IRO will guide you through the recognition process of your traineeship.

 

FINAL NOTES

⚠️ The Erasmus+ scholarship covers only part of your living expenses — please inform your family before applying.

  • Always use your institutional HMU email for online applications and system access.
  • Ensure all your data are accurate — errors may delay or cancel your funding.
  • Scholarship rates may change annually according to EU regulations.
  • Failure to meet this requirement may result in loss or return of scholarship funds.
  • You must stay at the host organization for at least two months ,  otherwise, you will be required to return the entire amount of your scholarship.

All documents must be submitted to the HMU International Relations Office at least one month before departure .
